This Privacy Policy explains how the SituationWare mobile application ("the App") handles information. SituationWare is a professional incident-coordination tool. The App connects to a SituationWare server operated by your organization (the "Server"). Your organization is the controller of the operational data you create; Acknowledged Development Inc. publishes the App software.
1. Information the App handles
You provide / the App creates: - Sign-in details — a team code (join code), a callsign/username, and an optional team passphrase. No email address, phone number, or real name is required to sign in. - Precise location — when you grant location permission, the App reads your device GPS/network location and shares it with your team so members appear on the shared map in real time. Location is used only while you are signed in and using the App. - Operational content — map markers, notes, drawn routes/areas, threat zones, photo/audio/video and file/document attachments you add to markers, chat messages, and exercise injects. This content is shared with other members of your team and stored on your organization's Server. - Preferences — e.g. coordinate format and selected formation.
Collected automatically: - Usage analytics (optional) — if your build is configured with an analytics key, the App reports usage events (app opens, screen views, feature actions) and technical context to a self-hosted analytics service (BizEyes). That technical context includes the app version, the "Android" platform, OS version, and the source IP address and device/technical identifiers associated with the request. These analytics do not contain your location or message content, and are used only for aggregate usage measurement — not advertising. If no analytics key is configured, analytics are disabled.
The App does not collect contacts, SMS, your photo library, calendar, advertising identifiers, or financial information.
2. How information is used
- To show teammates' positions and shared markers on a common map.
- To deliver and synchronize chat and operational edits across the team.
- To run training exercises (injects, scenarios) when enabled by a Commander.
- To understand aggregate, anonymous feature usage so we can improve the App.
3. How information is shared
- With your team / your Server. Location, markers, and chat are transmitted to your organization's SituationWare Server and shared with your teammates. Your organization controls who is on the team and how long data is retained.
- Usage analytics (usage events plus technical context including source IP address and device/OS identifiers, as described above) go to the self-hosted BizEyes analytics service.
- We do not sell personal information, and we do not share it with advertising networks or data brokers.
4. Data transmission and storage
- All communication between the App and the Server uses HTTPS (encrypted in transit); cleartext traffic is disabled in the App.
- The App stores your sign-in token and a local cache of recent operational data in app-private storage on your device, plus an offline queue of edits and cached map tiles, so the App works without a connection. This local data is removed when you sign out or uninstall the App.
5. Location permission
SituationWare requests precise and approximate location to place you on the shared team map. You can decline, or grant "while using the app," and you can revoke the permission at any time in Android Settings. Without location, you can still view the map and team data but will not broadcast your own position.
6. Data retention and deletion
- Local data: cleared on sign-out or uninstall.
- Server data: retained per your organization's policy. To request access to, correction of, or deletion of your account and associated data, see our Account & Data Deletion page, contact your team administrator, or email help@securitasmachina.org. We will forward verified deletion requests to the operating organization where applicable.
7. Children
SituationWare is a professional tool intended for adult emergency-response personnel. It is not directed to children and is not intended for use by anyone under 13.
8. Security
We use HTTPS in transit, token-based authentication, role-based authorization, and app-private local storage. No method of transmission or storage is 100% secure, but we work to protect your information using reasonable safeguards.
9. Changes to this policy
We may update this policy; the "Effective date" above will change accordingly. Material changes will be reflected at the published policy URL.
